For a standard drinks reception with a straightforward menu of wine, beer and soft drinks, one bar staff member per 50 guests works well when the bar is pre-prepped and service is self-explanatory.
For cocktail service or a more complex drinks menu, bring that ratio closer to one member of staff per 30 guests. Cocktails take longer to make and require more precision. Underestimating this is one of the most common and costly mistakes at events.
For VIP events or high-end corporate hospitality where both speed and presentation matter, go tighter still. One per 20 guests is not excessive in that context. The cost of an extra pair of hands behind the bar is always less than the cost of unhappy guests.
If your event has a single peak period, such as a drinks reception before a seated dinner, plan your staffing around that window specifically rather than spreading the same headcount across the whole evening.
What Skills Should Event Bar Staff Have?
At a minimum, good event bar staff bring three things: speed, situational awareness and friendliness that does not tip into forced.
Speed matters because events have rhythms. A lull at the bar during a speech is fine. A queue of fifteen people waiting while two staff members move slowly is not.
Situational awareness means knowing when to restock before running out, keeping the station clean without disrupting service, and reading the room well enough to know when to slow down and when to push through. The best bar staff do all of this without being asked.
Friendliness is worth mentioning separately because it is not the same as chattiness. At a corporate event, guests want efficient and warm. They do not necessarily want a lengthy conversation while twenty people are waiting behind them. The right bar staff read the situation and adjust.
For licensed events, all bar staff should hold a personal licence or work under the supervision of a premises licence holder. If you are unsure about the licensing requirements for your event, your venue will usually be able to clarify. A reputable staffing agency should also be able to advise.
The Difference Between Bar Staff and Mixologists
This distinction matters more than people realise, and mixing up the two is an easy and expensive mistake.
Standard bar staff are experienced at pouring drinks quickly, managing a busy service and keeping guests happy across a broad drinks menu. They are exactly what most events need.
Mixologists are specialists. They know cocktail recipes in detail, can improvise, understand flavour profiles and take pride in the craft of what they make. If your event has a cocktail menu, a bespoke drinks experience or a bar concept that is part of the event's identity, you need people with genuine mixology experience, not just bar experience.
When briefing your staffing agency, always specify what is behind your bar and what level of drinks knowledge you expect. Do not assume. An agency that takes its job seriously will ask you these questions anyway, but it is worth raising upfront so there are no surprises on the night.

Not providing a proper brief. Bar staff perform better when they know the event format, the expected guest count, what is behind the bar, the dress code and who to speak to if something goes wrong. A two-minute briefing document can make a real difference to how the shift runs.
Confusing bar staff with bar management. If your event is large or complex, you may need a senior bar team leader who can oversee the operation, manage the other staff and make real-time decisions. This is a different role and should be specified when you book.
